The Administrative Assistant under Technology and Administration Solutions (TAS) will provide management support to the Functional Manager she/he is assigned to, as instructed.

The Role

As a TAS Administrative Assistant, you will provide management support to the Operations Manager and are assigned in 5 main areas:

Office Administration

  • Provide general coordination for all logistics and concerns for Trainings, Meetings, Travel and Transportation. Will handle all taxi requirements and coupon preparations for his/her team.

  • Will handle tracking and counter checking of bills of Basic/ Avis taxi on a monthly basis before securing the signature of her team manager. Responsible in forwarding the same to Office Services.

  • Faciliate all finance-related requests for his/her assigned team (preparation of RFP)

  • Facilitate all office supplies and equipment requests for his/her assigned team and will handle request for her team to Office Services.

  • Help in preparing correspondences; communicate extensively utilizing a variety of technology request to Office Services to include telephone, electronic mail, web sessions/video conferencing and voicemail.

  • Producing documentation and deliverables relevant to the different project stakeholders.

  • Prepares training materials for any team meetings/trainings and teambuilding activities.

  • Keeps track of shift schedules and informs HR of the same for proper computation of night differential computation.

  • Creation of weekly, monthly and quarterly reporting on various projects and deliverables, as instructed

  • Will handle cash advance requisitions to purchase food and beverages as required for each team meeting/training and replenished accordingly.

Clients and Innovation

  • Keep the Technology and Administrative Solutions’s leadership team informed on all critical activities, identify risks/issues relative to the team she is handling.

  • Provide needed assistance and compliance to globally accepted standards, specifically that of ISO27001: Information Security Management System and ISO9001: Quality Management System

  • Handle hotel reservation for incoming visitors of TAS plus transportation and duly request office proximity and building proximity from Office Services.

The Requirements

  • At leastone to two years experience in a similar role

  • Goodwritten and verbal English communication skills

  • Excellentorganization skills

  • Abilityto maintain confidentiality with respect to associate/client information andprojects

  • Knowledgeablein Microsoft Word, Excel and Powerpoint
